What the WhatsApp Business API is
The WhatsApp Business API is Meta’s official access for companies to use WhatsApp from their own systems: several people on one number, a WhatsApp chatbot, CRM integration and automated notifications. It is the right tool when the WhatsApp Business phone app is no longer enough.
Meta offers it as the WhatsApp Business Platform. The most common option today is the Cloud API, hosted by Meta, used directly or through an authorized provider.
WhatsApp Business app or the official API
- WhatsApp Business app: free, designed to reply from a phone or computer, with quick replies and a catalogue. It works well with few conversations and one or two people.
- WhatsApp Business API: it has no screen of its own; it connects to a system. It supports several agents, routing rules, chatbots, CRM and ERP integration, templates to message customers first and a full record of conversations.
Unofficial services that mimic WhatsApp Web to send bulk messages break Meta’s terms and put the number at risk. We only work with the official API.
What WhatsApp API integration makes possible
- Several people answering on one number, with routing by team or shift.
- A WhatsApp chatbot with AI that answers with real information and hands off to a person.
- Notifications with approved templates: confirmations, appointment reminders, order status, due dates.
- Every conversation stored in the CRM for WhatsApp and linked to the customer.
- WhatsApp connected to scheduling, order or billing systems.
Requirements to use the WhatsApp Business API
- A Meta business account (Business Manager), ideally verified.
- A phone number that is not active in the WhatsApp app, or that is migrated to the API.
- A display name that follows Meta’s rules.
- Approved templates for messages the company sends first.
- Customer opt-in to receive messages, and a simple way to opt out.
How much the WhatsApp Business API costs
Since July 2025 Meta charges per delivered message, with rates that depend on the message category and the recipient’s country. Marketing, utility and authentication templates are charged. Messages sent by customers are not charged. Since October 2026, customer service replies have a free monthly allowance per number and anything above it is charged.
Meta updates its rates several times a year, so the cost is calculated with the current rate card and the company’s real volume. On top of that is the cost of the system that uses the API: the chatbot, the CRM or the agent inbox.
WhatsApp automation without losing the human touch
WhatsApp automation does not mean nobody answers. A good design handles only what repeats, such as opening hours, order status or booking confirmation, and passes everything else to a person with the full history. The customer can always ask for a human. Messages with financial impact, such as special prices, changed terms or claims, stay under human approval.
What we build on top of the API
- The official Cloud API connection and template setup.
- An agent inbox for several people, or integration with the CRM already in use.
- A WhatsApp chatbot with AI connected to the business’s real data.
- Automated notifications from other systems, for example the appointment scheduling system.
- Integration with ERP, online store or billing through API and systems integration.

Data care
Conversations contain personal data. They are stored with restricted access, used only for the stated purpose, and sensitive information is not sent to external AI providers unless it is needed. Every chatbot action is logged.
How a WhatsApp Business API project starts
We first review how customers write today: which questions repeat, which ones need a person and which notifications the company already sends by hand. Then the number, the Meta business account and the first templates are prepared, the inbox or CRM connection is set up, and the chatbot starts with a narrow set of answers. Volume, response time and handoffs are measured before adding more automation.
