The WhatsApp Business API, officially the WhatsApp Business Platform, is Meta's official way for a company to connect WhatsApp to its own systems: a CRM, a booking system, an AI WhatsApp chatbot or a shared inbox where several people answer. Unlike the phone app, it has no screen of its own: it is used through software.

WhatsApp Business app vs API

  • WhatsApp Business app: free, installed on a phone, suited to small businesses answering by hand. It has quick replies and a catalog, but it does not really integrate with other systems.
  • WhatsApp Business API: built for companies that need to automate, connect systems, have several people answer at once or send notifications to many customers. It requires a provider or custom development and has per-message costs.

One number cannot be on the regular app and the API at the same time without a migration, so decide in advance which one you will use.

Requirements

  • A Meta business account (Business Manager) for the company.
  • A phone number that can receive a verification code and is not tied to another account.
  • A display name that complies with Meta's policies.
  • Acceptance of WhatsApp's commerce and messaging policies.
  • Software that uses the API: custom development or a provider.

How to get access, step by step

  1. Create or use the company's Meta business account.
  2. Choose whether to connect directly to the WhatsApp Cloud API, hosted by Meta, or through a solution provider.
  3. Register the number and display name.
  4. Set up a payment method for charged messages.
  5. Create your first message templates and wait for approval.
  6. Connect the software that will send and receive messages.

Business verification is not always required to start, but it raises messaging limits and is usually needed as you grow.

Templates and the 24-hour window

The core rule of the API is the 24-hour customer service window. When a customer writes, the business can reply with free-form messages for 24 hours after that customer's last message. Outside the window, the business can only start a conversation with a template approved by Meta. Templates have categories: marketing, utility (for example an order confirmation or appointment reminder) and authentication (verification codes).

WhatsApp Business API pricing model

Since July 2025, Meta charges per delivered template message, at a rate that depends on the template category and the recipient's country. Since October 2026, service messages, meaning free-form replies inside the 24-hour window, are also charged per message once a monthly free allowance per phone number is used up, and utility templates are charged even when sent within an open window. On top of that comes whatever the provider or development charges, plus AI usage if there is a chatbot. So WhatsApp Business API pricing for a given company depends on how many messages it sends, of which type and to which countries. Current rates are published in Meta's official documentation.

What a WhatsApp chatbot on the API can do

  • Answer frequent questions with the business's real information.
  • Book, confirm and remind appointments, connected to an appointment scheduling system.
  • Report order or shipment status by querying the company's system.
  • Capture inquiry details and save them in a CRM for WhatsApp.
  • Hand off to a person with full context when needed.

Common mistakes

  • Using unofficial tools that imitate the app: the number can be banned.
  • Sending bulk promotions without consent: number quality drops and sending may be limited.
  • Not budgeting for marketing templates when planning campaigns.
  • Connecting a bot with no way out to a person: the customer gets stuck.
  • Not storing conversations anywhere: the sales history is lost.

Number quality and messaging limits

Meta rates the quality of each number based on how customers react: blocks and reports lower it. With good quality, the limits on business-initiated messages grow over time; with poor quality, they shrink. So send only expected, useful messages and respect anyone who asks to stop receiving them. Opt-in should be explicit and recorded.

Keeping conversations useful for the business

Conversations on the API should not end in an isolated inbox. When each chat is linked to a customer record, the sales team sees the full history, managers can measure response times and nothing depends on a single person's phone. That link to a CRM or internal system is usually where most of the business value of the API comes from, more than the bot itself. It also makes it possible to see which inquiries turn into sales and which questions keep coming back.

When to move to the API

It makes sense when several people answer the same number, when the same questions repeat, when many customers must be notified or when WhatsApp has to connect to other systems. WhatsApp Business API integration is the starting point for all of that.

Frequently asked questions

What is the WhatsApp Business API?+

It is Meta’s official way to connect WhatsApp to a company’s systems, such as a CRM, a booking system or a chatbot. It has no app of its own: it is used through custom software or a provider.

How does WhatsApp Business API pricing work?+

Meta charges per delivered template message, depending on the category and the recipient’s country. Since October 2026 it also charges service replies inside the 24-hour window once a monthly free allowance per number is used up. Provider or development costs and AI usage, if there is a chatbot, come on top.

What is the WhatsApp Cloud API?+

It is the version of the WhatsApp Business Platform hosted by Meta. Companies or their developers connect to it directly, without running their own WhatsApp server.

Can I use the same number on the app and the API?+

Not at the same time. The number must be migrated to the API and is then used through the connected software.

Can a WhatsApp chatbot work on its own?+

It can handle frequent questions, book appointments and report order status, but it should always be able to hand off to a person for cases it cannot resolve well.

Do I need business verification on Meta?+

Not always to start, but verification raises messaging limits and is usually needed as volume grows.
