The problem it solves
In many companies sales happen on WhatsApp, but the information is scattered across salespeople’s phones. Nobody knows for sure how many inquiries arrived, which were answered, which quotes are pending or what happened with a customer when their salesperson is away. A CRM for WhatsApp brings it all together without changing the channel the customer already uses.
What it includes
- Shared inbox: several salespeople work the same number, with conversation assignment and no duplicate replies.
- Contact record: each conversation is linked to a contact with history, details and notes.
- Sales pipeline: configurable stages (inquiry, quote, negotiation, closed) and the value of each opportunity.
- Follow-up: automatic reminders and approved template messages to resume conversations after 24 hours.
- Reports: inquiries by source, response time, conversion by salesperson and stalled deals.
What AI adds
AI reads the conversation and does the work nobody has time for: it summarizes what the customer asked, fills in the contact record, suggests the pipeline stage, drafts a reply for the salesperson to review and flags deals that are going cold. It can also answer the first inquiry after hours with a WhatsApp AI chatbot and pass the qualified lead to the right salesperson.
A new CRM or the one you already have
If the company already uses a CRM, the first option is to connect WhatsApp to it instead of replacing it; see AI CRM. If there is no CRM, or the current one does not fit, we can build one focused on WhatsApp or a custom CRM with the business’s stages and rules. Either way, the data stays in a company system and can be exported.
About the official API
To connect a CRM to WhatsApp reliably, we use Meta’s official WhatsApp Business Platform. Tools that automate WhatsApp Web outside that platform put the number at risk. The official platform supports several users on one number, approved templates for outbound messages and a complete record of every conversation.
Broadcasts and consent
A WhatsApp CRM can send campaigns to customer lists, but only to people who agreed to receive messages and with templates approved by Meta. Unwanted messages lead to blocks and reports that hurt the number’s quality rating. The system records consent and honors opt-outs.
Where it is used most
Real estate agencies, car dealerships, insurance agents, travel agencies, clinics, professional firms, distributors and shops that sell on WhatsApp. Pipeline stages and key data change in each case; for example, in real estate each inquiry is linked to a property (see AI for real estate and real estate CRM).
What is measured
First response time, unanswered inquiries, conversion by stage, deals recovered through follow-up and sales attributed to each source. That is the data that shows where sales effort should go.
